From Enquiry to Design

As soon as we receive your completed enquiry, we’re already thinking about how we can design your printed newsletter to truly reflect your vision and matches your individual requirements perfectly.

We’ll then provide you with a detailed proposal and price guide and then once you’re ready to go, we’ll sort out the paperwork so you know what we’re going to do for you, by when and what it’s going to cost.

It is at this point you can start collating all the relevant information we’ll need.


From Design to Delivery

Once you give us the green light to proceed with your order, we get to work creating your tailored newsletters. As everything we do is uniquely created just for you (we don’t use templates or have collections you can choose from) it may go quiet for a short period but this is when we’re hard at work turning your vision and requirements into reality. This is what we’re best at.

Once you’ve approved your artwork, your order heads into production and in no time, your printed newsletters will be with you ready to be received by your readers.

Broadly speaking, our process can be broken down into five simple stages:

Stage One


Upon receipt of your enquiry, we will have a clear understanding of your individual requirements and expectations. With this information we’ll send you a proposal and price guide based upon the information you have supplied – this details how we will interpret your ideas and helps us to create newsletters that are both completely unique and are exactly what you want.

We answer any follow-up questions you may have and are on hand to offer consultations at any point should you want to discuss things in greater detail, need clarification or wish to make changes etc. Normally this is done via email or telephone and we find this works really well for our clients.

We also offer video calls via Skype or FaceTime if required and can provide further details should this option be of interest.

Stage Two


We try to ensure that the paperwork part of the project – which in reality is the least exciting bit – is kept as simple as possible.

When you’re ready to proceed, we sort out the paperwork and agree the specifics of the project and production timescales.

We then provide documents that confirm what we’re going to do for you, by when and what it will cost. For the protection of both parties, we provide a contract and our terms of business for us both to sign. This details our responsibilities and what you can expect from us and the project fees involved.

Then finally, a deposit payment is required before we commence work on your project with the remaining balance due once you have approved your artwork and ahead of final production and dispatch of your order.

We accept payment by credit and debit cards, PayPal, BACS or cheque and in some circumstances, cash.

Stage Three [Park I]


Once we have completed the paperwork, we begin the creative process. We start with your direction, what you want and how you want it to look and most importantly how it fits within the other elements of your brand and more broadly, your other marketing communications activities. This is our favourite part – we get to work with you to create your newsletters to your precise requirements.

It is at this stage that we need you to provide us with all the content for your newsletters. The articles, announcements, features, images – special contact information, events, locations – in fact whatever you want to go into to your newsletter – we need it to get started. Once received, we begin skilfully incorporating it all into your design.

Naturally you can have whatever you like – as we don’t use templates or have pre-designed collections, we aren’t limited to space or layout restraints. We are more than happy to make suggestions too if you need help.

The length of time the creative design part of the process takes depends on a number of factors including the complexity of the design, the individual elements involved and the speed at which we receive the information from you. In any circumstance, as highly experienced designers, we don’t rush our work. We aim to get your artwork proofs to you as quickly as possible but we find that the creative process takes the time it takes.

Once your artwork is ready to show you, we send you a full presentation of your newsletters and all the different elements therein.

We welcome your feedback and work tirelessly to ensure that the final design meets your exacting standards and we are happy to make any changes you need. Unlike the vast majority of online ‘designers’ we do not put a limit of the number of revisions. We hate that most design companies say you can only have two or three changes.

That really doesn’t sit well with us as we want you to be able to make changes, tweaks or alterations – after all, we are committed to absolute client delight and we need you to be proud of the finished results.

We do however, ask that you work within a fair usage policy – we’ll let you know gently if it looks like things are getting out of hand – and try and keep amends together rather than drip feeding them as this makes it both easier and also speeds up the process.

Stage Three [Part II]


Before sending your finished artwork into production we ask you to carefully approve all the elements and each item individually. It is important that there are no mistakes, typos or omissions.

You’ll need to check all spellings, dates, times, details, names, addresses etc. Many clients find that having at least one other person check things over helps to spot anything that may be incorrect.

We do offer the services of an external proof reader in our process and she has eagle eyes and is a grammar and spelling whizz. However, once you have given us your final approval, unfortunately we cannot be held responsible for any errors or spelling mistakes spotted after this point.

However, if something changes or you’ve forgotten a key detail, or have a late article to be included for example we can always help. There may be additional timescales involved and in most circumstances this will attract additional fees, which will be highlighted before we proceed.

We do not send anything to print until we have your approval which must be in writing – normally by email. Full instructions are provided when we send your artwork to you for your approval.

Stage Four


Once you’ve approved everything, we give it one last check over and once it gets the green light from us, your professionally designed printed newsletters receive special attention as it goes into production.

The turnaround time from receipt of your approval to delivery depends upon the complexity of your final item(s), the printing and production methodologies employed and the finishing required. We will confirm anticipated delivery date(s) once we have your approval.

However, as a guide, simple, low quantity newsletters that are digitally-printed are normally with you within a week or so.

Items that involve complex printing requirements or have extra finishing can take up to a fortnight or so but normally it is much sooner.

Stage Five


We are keen to ensure that your order is with you as soon as possible and as soon as they are completed, each order is individually checked to ensure they meet our exacting standards. We don’t ever send anything to our clients that we wouldn’t be happy with ourselves.

Once we’re happy that you’ll be happy, your items are carefully  packed and sent directly to you – or your designated delivery address. All items must be signed for upon receipt.

International orders attract a further period of delivery time and delivery estimates will be provided in such circumstances.

Please note that we are unable to ship to PO Boxes, British Forces Post Offices (BFPO) and certain geographic locations where our delivery partners do not currently ship to. If you are in such a location, please contact us and we will do whatever we can to help.

We only use leading and international couriers and we ensure that your package is both carefully and securely packaged to protect it in transit and is also fully insured to the full value should the worst happen. We provide full online tracking details too so that you can keep an eye on your order as it makes its way to you.

Please note that cleared payment must be received before production of your order begins. As a result, any delay in receiving payment will impact upon stated production and delivery timescales.
